How to get Call Soft to search your E-Mail by subject.

If you have trouble checking E-mail and have the option "run as service" checked on the General tab in setup try closing Call Soft and run it via the Start menu e.g. Start->Programs->Call Soft Pro . If that works consider not running Call Soft as a service but instead run when someone logs on.  
 
This options allows you to search for E-Mail in a folder by subject and optionally hear only a selected portion of the message and optionally retrieve only the most recent message.  
It is designed to easily allow you to call in and retrieve the most recent news, weather or stock information. For example CNN can send you breaking news, Intellicast can send you weather and Price Waterhouse can send you specific stock information. There are many other services available on the Internet that might help you.  
 
If your E-mail client supports MAPI you can have Call Soft read your E-mail to you over the phone.  
 
MAPI stands for Messaging Application Programming Interface. This simply means your E-Mail client can share it's data with other applications. There are two types of MAPI, simple and extended. Call Soft requires your E-Mail client to support extended MAPI. Unfortunately Outlook Express does not support this, however Outlook does.  
 
You will also need to have speech enabled. We also recommend one of the professional voices found on our speech page. Using the standard voices, Microsoft provides, are difficult to understand when used in this capacity.  
 
Call Soft deals with folders not accounts. For example Inbox is a folder, Call Soft can also read any sub mailbox connected to Inbox. So if your E-mail client is receiving mail for more than one person (multiple accounts), and if you want to check mail for a single account, you will need to redirect each account's mail to a folder, then have Call Soft read the mail in that folder. You can do this with Outlook by defining a rule.  
 
If you use Outlook, you might be familiar with it's layout below ( see picture below). In this example, Call Soft would be able to read mail in Inbox, Art's E-Mail, Call Soft, George's E-Mail and Important.

Here is how to do it:

Right click on a mailbox, select Properties, go to the Remote Options tab, right click on the list of remote options and select new.

If Call Soft is unable to connect to the mail system a dialog will appear. This is most likely due to your E-Mail client not supporting extended MAPI. You will need to update or upgrade your client in order to continue.  
 
From the drop down list select "Search E-mail in a folder by subject" and select the folder you want.  
 
Search for:  
Specify the string you want to search for.  
 
Most recent only:  
If multiple messages are found, check this to only play the most recent one.  
 
From/To Index:  
This is an option that allows you to extract only a portion of the body. For example you receive a daily weather report and would like the ability to call in and have that report read to you. The problem is the first 20 lines contain garbage. You could just listen to the whole thing but there is a better way. Specify a unique word or phrase where you want to start hearing the message and optionally specify another one indicating the end. You specify these using the format FROM="start here" TO="stop here" you must connect to = sign to FROM and TO and must also enclose your text in quotes. The FROM text will be included in the message you hear, the TO text will not.

For example take this daily weather report:  
The subject of the E-mail is "Intellicast Daily Email Planner [dailyplanner@intellicast.com]"  
So setting the search string to "weather" will retrieve the message.  
Setting the From/To Index to: FROM="Today:" TO="==="  
will extract the text shown in the picture to the left.

Test it.  
Make sure you have E-mail in the folder that matches your search string.  
Right click on the mailbox you just configured and select "Test this menu". When the greeting begins to play press 3 or whatever you set your key to activate the E-mail reader.  
 
You will only hear the body of the message.
