Phone Book

The main purpose of the phone book is to store information on people who might call you. When a call is received, Call Soft will try to identify the caller by comparing the caller ID information to people defined in your phone book. When you add a phone book record you can optionally specify a personal greeting you want the caller to hear or perhaps assign them to a particular mailbox. You can even setup phone book records to instruct Call Soft to hang up.  
 
The group box allows you to break your phone book records into groups. By default the group box contains one item "My Contacts". To view the records in a particular group simply click on the group name.  
 
You can sort the phone book records by clicking on the column header you want to sort by. Click the column header again to sort ascending. You can also adjust the width of any column by left clicking the edge the of the column header, and while holding the left mouse button down adjust the width and release the left mouse button.

·New  
Contact. Adds a new contact to the selected group.  
Folder. Adds a new folder on the same level as the selected group  
Child Folder. Adds a new folder that is a sub or child to the selected group.  
Common Folder. Adds a new Common Folder.  
·Rename. Renames the folder.  
·Delete. Deletes the folder.  
·Color. Set the background and text color for both the group and contact list window.  
·Show All. Will cause the contact list to show all contacts in all folders.  
·Import. Same as Import for phone book list below.  
·Properties. This will only appear when you right click on a common folder and selecting it allows you to modify it's properties.  
 
How to add callers to the phone book.  
Wait until they call and appear in the call history list, then right click on their name and select "Add xxxx" to the phone book.  
Click the button and manually enter the information.

Phone book list menu:  
Right click anywhere in the phone book list to access the menu.  
 
·Lookup: See Internet lookup  
 
·Copy: This copies the selected phone book entries to the Windows Clipboard. You can then paste the information into another application  
 
·Delete: This deletes the selected phone book entries.  
 
·View Selected Names With:  
 
Notepad: This will take the selected phone book entries make a text file delimiting the fields with a tab then open the file using Windows Notepad.  
Excel: This will take the selected phone book entries make a text file delimiting the fields with a tab then open the file using Microsoft Excel. Excel will see the file as a delimited ASCII file and should parse and separate the fields into columns.  
 
·Test this person calling: Mimics this person calling. This causes the mailbox messenger window to appear in test mode.  
 
· Import  
Import from my Windows Address Book.  
Imports names and numbers from your shared Windows Address Book. If you use Outlook as your mail client you probably will be able to import your contacts into Call Soft. See Import Windows address book.
