How to add a contact to your phone book using the Contact Editor.

Advantages to adding callers to your phonebook:  
1.Assign a personal greeting. When this person calls they will hear a greeting tailored just for them.  
2.Assign them to a particular mailbox.  
3.Answer on a particular ring or hang up. Latter is good for telemarketers.  
4.Create a personal sound, through your computer's speakers, when they call.  
5.You can choose to be remotely notified or not (e.g. always notify me when this person calls or perhaps never notify me).  
6.Dial there number directly from your phonebook.  
 
To access your phone book click the Phone Book tab on Call Soft's main window.

How to add to your phone book using the Contact Editor:  
 
The phone book entry window is where you enter, edit, or add caller's in your phone book. To display this window, right click on a caller's name in the call history list or phone book list. and select "Add xxx" or "Edit xxx" where xxx is the caller's name or click the button above the phone book list.  

How to identify a caller:  
When someone calls your house, Call Soft is given two pieces of information: the caller's number, including the area code, and the caller's name. So to identify this caller the next time, Call Soft will look at either the name or the number. You need to tell Call Soft what to look at (e.g. either the name or number).  
You should always identify using the NUMBER. Typically, the only time you would want to use the name is when someone is calling from a location with several numbers associated with it. For example, if your water company called, the name might appear as "WATER CPNY" but the number could be 1 of, say 100 numbers the water company has. This number would change every time they called. Now you could enter all 100+ numbers into your phone book, but it would be a lot easier to simply key off the name. So in this case using the name is warranted, otherwise always use the number to identify a caller.  

Note: You can use wild cards also. For example if you enter 713-961-12?? to identify a caller named TOSC, Call Soft will detect anyone calling from 713-961-1200 - 713-961-1299 as TOSC. You can use ? anywhere in both the NAME or NUMBER.

Enter the name you want to appear in the call history and flash window. This name can be up to 31 characters.  
Yes when this person calls assign them to this mailbox option allows you to direct this call to a particular mailbox e.g. when they call go, directly to this mailbox.

Specify an action  
·Take a message: Normal will simply play a greeting and take a message.  
·Do not take a message: Will play a greeting then hang up.  
·Hang up: No greeting will be played. Will simply hang up on the caller.  
·Ring to answer on: If you want Call Soft to answer on a particular ring specify it here. Select "Use Default" to answer on the ring specified on the message tab in setup.  

Specify a personal greeting by clicking the browse button or click "Edit" to create one. When you click "Edit", Call Soft will ask if you want to create a text file (.TXT) or wave file (.WAV). If you create a wave file you will have to record a greeting. If you create a text file, the text you type will be spoken to the caller. In order for Call Soft to speak, you must have the speech API, and at least one speech engine installed. You can get this at our website.

Specify a notification sound by clicking the browse button or click "Edit" to create one. The notification sound is the sound that will be played through your computer's speakers when this person calls. You can also choose never to notify you when they call. If you choose "Notify me", Call Soft will notify you only during the times specified in setup.

Common Folders:  
A common folder contains contacts that inherit attributes defined by the folder. Common folders will contain an clip0137 image next to them. To create one, right click in the phone book folders list and select New -> Common Folder. There are seven contact attributes groups, and each is sectioned off in the contact editor. You see them as:  
1.How to identify this caller  
2.Enter the name you want to appear in the history and flash window  
3.Yes when this person calls assign them to this mailbox  
4.Message  
5.Personal greeting  
6.Sound to play or say through your computers speakers when this person calls  
7.Notification  
 
When you create a common folder you will be presented with the same contact editor window you use for editing normal contacts with the exception of a window containing a list of attribute groups you want to share. You simply share a group, then set its value, like ring to answer on or personal greeting. Those groups NOT shared will remain unique to each contact. When you edit a contact contained in a common folder you will not be able to edit the shared groups defined in the common folder.
