Mailbox Tree View Window

| The mailbox tree is located next to the incoming call history list. To get there click the incoming call history tab on Call Soft's main window.

| The mailbox tree is where your mailboxes are shown and where you add, delete or modify mailboxes.
|
|
|
| The number in brackets next to the mailbox name indicates the number of messages in that mailbox. When you click on the top mailbox all messages from all mailboxes is shown in the incoming call list. If you click on any other mailbox only messages for that mailbox are shown in the incoming call list.
|
| A red X next to a mailbox name indicates that mailbox is inactive (check the "active time tab").
|

|
|

|
| A Lock next to a mailbox name means a password is required for access. When you successfully log into a mailbox, a logoff button will appear near the bottom of the mailbox tree. Clicking this button will log you off, if you forget to log off Call Soft will do it for you in 15 minutes.

| The mailbox tree view menu:

|
| To access the mailbox tree menu right click anywhere in the window.
|
|
|
| · | New:
|
| · | Mailbox: Adds a new sub mailbox to the mailbox you right clicked on.
|
| · | Main Mailbox: Adds another main mailbox. You only want to define another main mailbox in the event you need another main greeting based on time. For example a daytime and night time main greeting.
|
|
|
| · | Delete:
|
| Deletes the highlighted mailbox and any sub mailboxes. You cannot delete the main mailbox.
|
|
|
| · | Exclusively Active:
|
| An exclusively active mailbox is the only mailbox active regardless of other mailboxes active times. It's purpose is to allow you to create a special message and allow you to turn it ON and OFF with ease. For example you could create a "Back in a minute" mailbox, make it exclusive before leaving then turn it OFF (not exclusive) when you get back.

| Call Soft will ignore an exclusive mailbox if:
|
| 1. The caller is in your phone book and has been assigned a mailbox.
|
| 2. The call matches one of the distinctive ring patterns. In this case the call will be assigned to the mailbox defined in the distinctive ring properties.
|
| 3. You select "Test This Menu" from this menu (below).
|
|
|
| When a mailbox is set as Exclusively Active a |
| Select Exclusively Active again to disable it.
|
|
|
| · | Copy:
|
| Copies the highlighted mailbox to be used in a paste operation.
|
|
|
| · | Paste:
|
| Paste the mailbox copied this effectively makes a copy.
|
|
|
| · | View:
|
| · | Color changes the background color of the mailbox tree view.
|
| · | Font changes the font used in the mailbox tree view.
|
| · | Sort change how you want the tree sorted i.e. by name or by access number.
|
|
|
| · | Test This Menu:
|
| This allows you to test your mailbox tree. The messenger window will appear and the message in your main greeting mailbox will begin to play. To change mailboxes, test remote access features etc. use the keypad on the messenger window. Your computers speakers and microphone act as the telephone i.e. you will hear greetings through your speakers, use your computers microphone to record messages.

| Note: If your talking to someone via Call Soft and you select "Test This Menu" the person your talking to will hear the test also.
|

|
| · | Force Call Here:
|
| If the phone is ringing or your talking to someone (using Call Soft or not) and wish to direct the caller to a particular mailbox then highlight the mailbox and select this option. If your talking to someone on a separate phone extension and choose this option, Call Soft will pick up and invoke the highlighted mailbox. At this time you can hangup the extension your using and let Call Soft take over. If your using Call Soft's speakerphone and use this you will loose your speakerphone and Call Soft will immediately invoke the highlighted mailbox.

| Scenario: Jim answers the phone but caller asked for Jane. Jim says "no she is not here do you want her voice mail?". Caller say yes and Jim highlights Jane's mailbox and selects "Force Call Here" and hangs up. Call Soft plays Jane's greeting and takes a message.

| Modify an existing mailbox.

| Did you know?
|
| You can drag and drop mailboxes. Left click and hold while dragging the mailbox to a new location then release. The mailbox and all it's sub mailboxes are moved. You can also drag messages from one mailbox to another. To do this highlight the messages, in the incoming call list, you want to move. Left click and hold while dragging the messages over the mailbox you want to copy them to then release.
