Importing Your Windows Address Book

If you use Outlook or some other contact manager software that support MAPI (Mail Application Programming Interface) it's possible to import these contacts into Call Soft. Call Soft will read the names from your shared address book. It's important that you share your address book. To do this, run the Windows address book by clicking the Windows Start button then Programs->Accessories then click on Address Book. From the Tools menu select Options. Make sure you have sharing turned on.  

To run the importer:

Right click on the phone book list and select "Import from Windows address book" or click the clip0025 button found on the phone book tab. You will see the dialog window shown below.

How to get names from my Windows address book group  
 
Import everything in my address book:  
This will import all contacts in your Windows address book.  
Only import names that have a phone number. Select the numbers you want to import. (recommended):  
Import only contacts, in your Windows address book, that have some kind of phone number. The Windows address book can contain six different numbers broken up into two groups Home and Business. Click the phone numbers you want to import. This option is recommended because a phone book entry without a number does not mean much to Call Soft.  
Add description to business and mobile numbers. (recommended):  
When importing the phone numbers add a description to the record indicating what number it is. For example if Chris Rice has a Home, mobile and business number Call Soft will add "Chris Rice Home", "Chris Rice Mobile" and "Chris Rice Business" to the list. If this option is turned off then you will have three "Chris Rice" and will not know what the number is.  
You can edit the descriptions used by simply modifying the names above i.e. "Home phone", "Home fax". The descriptions don't look like normal edit able text but they are.  
How do you want to import names:  
The fields Call Soft can import is the first name, last name and display name. Specify what names and in what order you want them imported. We recommend using the display name because you can modify it to be anything without modifying the actual name.  
 
To begin importing the names from your Windows address book click the button.  
 
 
How to import the names into Call Soft group  
 
Merge the names but if the name cannot be found then add it. (recommended):  
When adding the names to Call Soft's phone book, check all Call Soft phone book entries (display name) for one that matches the text found in the Name column (the list of imported names on this window). If the name is found only then modify the number, greeting and notify sound only i.e. the number of times called, when to take a message, text to appear in flash window etc. are not changed.  
Remove all names from my Call Soft phonebook before importing:  
When adding the names to Call Soft's phone book, remove all existing phone book entries then add the items in this list. The number of times called, when to take a message, text to appear in flash window etc. are reset. Call Soft will set the original name to spaces and set the "How to identify this caller" to use the number. See adding a phone book entry for more details.

Will remove the entry form this list it will not remove it from your Windows address book.

Edit the entry in your Windows address book.
