Incoming Call History List

The history list is where all incoming calls are put. To the left of the incoming call list is a tree view of all your mailboxes.
 
There are 4 icons that might appear next to a name in the list. Here are their meanings.  
 
clip0223 This is a voice call, a message was taken and has not been heard.  
clip0224 This is a voice call, a message was taken and has been heard.  
This is a fax call and the fax has not been viewed.  
This is a fax call and the fax has been viewed.

To sort the incoming call list, you can do so by clicking on the column header you want to sort by. Click the column header again to sort ascending. You can also adjust the width of any column by left clicking the edge of the column header, and while holding the left mouse button down adjust the width and release the left mouse button. To change the order of the columns, simply drag the column to the preferred position. You cannot change the position of the Owner column.

·Listen/View  
Play the voice mail or view the fax attached to the call. This menu item is only active if you have selected a call with voice mail or a fax attached to it.  
 
·Forward Fax:  
This option will appear when you right click on a fax. When clicked a copy of the fax will be moved to the Faxes To Send list. This allows you to send the fax to someone else.  

·Call  
Right click on the person you wish to call and select "Call xxxx" or click the button.  

·Block Caller:  
This will create a phone book record for the selected caller but sets the greeting option to "play greeting then hang up". Next time this person calls they will not be allowed to leave a message. See phone book setup  
 
·What Happened:  
Select this to see detailed information about the call. This is very helpful in diagnosing problems. If the option is greyed out or not present make sure you have the option enabled on the General tab in the main setup. Click here for more information.  

·Copy:  
This copies the selected callers to the Windows Clipboard. You can then paste the information into another application  
 
·Delete:  
This deletes the selected callers. If you don't want to permanently delete the message turn on the Windows recycle bin option on the message tab in setup.  
 
·Delete All:  
This will delete all message from the list.  
 
·Do:  
Perform additional processing to a call or calls.  
·Make "New"  
This menu item is only active if you have selected a call with voice mail you have already heard. Selecting it will make the call new e.g. appear as if you have not heard it.  
·Lookup:  
See Internet lookup  
·View Selected Calls With:  
Notepad: This will take the selected calls make a text file delimiting the fields with a tab then open the file using Windows Notepad.  
Excel: This will take the selected calls make a text file delimiting the fields with a tab then open the file using Microsoft Excel. Excel will see the file as a delimited ASCII file and should parse and separate the fields into columns.  
·Do Notify:  
If the mailbox, the highlighted message belongs to, has notification turned ON will cause the notification process to begin using this call, just as if the person did call.  
·Note:  
Add a note to this call. The note appears in the notes column.  
 
·View:  
·Show Mailbox Images  
Will show the image of the mailbox that owns the call.

·Show Mailbox Names  
Will show the name of the mailbox in the first column.

·Highlight Call If In Phonebook  
Will highlight (yellow) all calls that are defined in your phonebook.

·Save:  
MP3 Save the caller's message in a highly compressed sound file to save space.  
WAVE Save the caller's message in the standard Windows format that is not compressed and is much larger than MP3.  
 
·Print this list:  
Prints the list.  
 
·Properties:  
This will appear if you have selected a caller that is in your phonebook. Selecting it will allow you to edit the phonebook record.  
 
·Add:  
This will appear if you have selected a caller this is not in your phonebook. Selecting it will add the caller to the top most folder of your phonebook.  
 
You can select multiple callers by holding down the shift key and moving up or down using the arrow keys or mouse. You can also hold the CTRL key down and click on the caller's you want to select. In any case once you have multiple callers selected then click any of the buttons above.  
 
Did you know? You can drag messages from one mailbox to another. To do this highlight the messages, in the incoming call list, you want to move. Left click and hold while dragging the messages over the mailbox you want to copy them to then release.
