Email Setup

Email setup is where you define who and how to send Email notifications.  
 
To access the Email setup right click on any mailbox and select properties. Go to the notification tab and click the Setup button next to "Yes notify me of calls via Email"  
 
Call Soft is capable of notifying you via Email if the Email server uses SMTP Short for Simple Mail Transfer Protocol, Most E-mail systems that send mail over the Internet use SMTP to send messages from one server to another.  
 
Call Soft can also send mail via any Email client that support Extended MAPI (Mail Application Programming Interface). Outlook supports Extended MAPI but Outlook Express only support MAPI so it will not work.  
To use MAPI simply click on the MAPI tab and check the "Use MAPI" and "Use Extended MAPI".

If you don't use Extended MAPI Call Soft will not be able to send messages automatically. Instead a message box will appear asking if it's OK. This is Microsoft's way of protecting you from software using Outlook Express to send malicious mail.

Click the MAPI Test button to see if it works.
Note: When Call Soft uses MAPI to send email you might see an icon appear in your system tray. This is the MAPI interface that Call Soft uses to talk to your Email client. It will close on it's own when finished sending mail.


 
 
Sending mail via SMTP

Outgoing mail server:  
Typically, but not always, starts with "mail" or "SMTP". For example "mail.earthlinks.net" or "smtp.earthlinks.net".  
 
Port:  
This is the port to open when sending mail. The default is 25 and would be very unusual if it was anything else.  
 
This server requires authentication.:  
Check this if your server requires authentication or you get a relay error when trying to send E-mail.  
 
User name:  
Typically, but not always, is the same name you use to log into your ISP.  
 
Password:  
Your E-mail password. Typically, but not always, is the same password you use to log into your ISP.  
 
Your Email Address:  
Your E-mail address. Some SMTP servers require this for authentication. This is also the address that recipient would reply to.  
 
Max try:  
If Call Soft fails to send the Email it will try again this many times  
 
E-mail address to send to:  
The E-mail addresses you want the message sent to. Right click in this window, to access the menu. Select new to add a new address to the list. If you don't want voice/fax attachments sent to an address, right click on the address and un-check "Send voice mail or fax as attachment".  
 
Subject line:  
Enter the text you want to appear on the subject line of the E-mail. Include any text you like including any tags listed below.  
 
Body:  
This is the text that will appear in the body of the E-mail or text message in the case of a cell phone or text pager. Include any text you like including any tags listed below.  
 
Tags:  
<name>   Caller's name  
<number>   Caller's number  
<time>   Time of call  
<digits>   Any digits the caller entered if you have enabled the capture digits option on in the mailbox properties.  
<length>   The length of the voice message. Has no effect for fax calls.  
<type>   Type of call "fax" or "voice"  
 
Example: say Robert called you from 281-555-1212 at 5:35 PM and your subject is entered as "My friend <name> called my house from <number> at <time> they entered this <digits>". When the Email is sent it will read "My friend Robert called my house from 281-555-1212 at 5:00:39 PM they entered 123456". You do not have to use all the tags and can use the same tag multiple times.  
 
If you have trouble sending E-mail the problem is usually due to your E-mail server not being an SMTP server or you have the wrong URL or port. You can check the connection manually by doing this:  
Go to a command prompt i.e. a DOS prompt. Assuming your mail server is mail.myserver.com and the port is 25 do this:  
Type: TELNET mail.myserver.com 25  
If you are able to connect to the server Call Soft should work otherwise your having a network problem or the URL/port are not correct.  


Setup your Internet dial up connection.  
 
When Call Soft attempt to send an E-mail, it needs to know how to connect to the Internet prior to sending the E-mail..  
If you connect to the Internet using your modem, you need to tell Call Soft to do this in order to send E-mail notifications to you.  
Call Soft will dial the connection, send the notification then hangup.  
 
Note: if you don't use your modem to connect to the Internet or don't have any dial up connections setup on your system this tab will be hidden.  
 
If you have a constant Internet connection (DSL, LAN or Cable modem) you probably do not need this step.

Don't use any dial-up connection instead use my LAN, DSL or Cable modem.  
If you have a LAN, DSL or Cable modem you probably want to check this option since these connections are fast and don't tie up your phone.  
     
Connection:  
This is the list of dial up connections you have setup on your system. You probably only have one, if not choose the connection you want to use.  
 
User Name:  
The user name your ISP gave you.  
 
Password:  
Your password.  
 
To test the connection click the "Test Connection" button. If any errors occur a message box will display it. After the test Call Soft will hang up.  


Setup your attachment options.


Call Soft has the ability to send a message, a caller has left, as an MP3 attachment to an Email.  
MP3 is a very popular format for compressing sound. Because MP3 can compress the sound file to a manageable size, it is now possible to send lengthy sound files across the Internet or in Email.

Yes when sending Email attach the callers message.  
Turn this option ON if you want messages attached to the Email.  
Convert the wave file to MP3 to save space:  
Turn this option ON to send the message in MP3 format (recommended).  
Leave the message in wave (.wav) format.  
Turn this option ON to send the message in it's original form .wav.  
 
Do not send the MP3 file if it's size, in bytes, is greater than:  
It's probably not a good idea to send Email attachments that are too big. Most Email accounts have a size limit. However, you should be safe sending an Email 600,000 bytes in size. A 600,000 byte MP3 file using a bitrate of 48 will equate to about 3-4 minutes.  
 
If your mail server does not allow .mp3 attachments what extension would you like Call Soft to change it to:  
Some mail systems will not allow MP3 attachments (many offices will not allow it). Since the mail server is looking at the file extension to determine it's type then all you need to do is modify the extension. So to change the extension from MP3 to say XYZ simply enter XYZ here. Now when you receive the message you're going to have to change the extension back to MP3 or make your MP3 player recognize XYZ as a MP3 file.  
 
Bitrate:  
This equates to the quality of the sound. The lower the number the smaller the MP3 files however, the quality of the sound also diminishes. We recommend using a bitrate of 48.
